Administrator / Scheduler (Homes Team)​

If so, you’ll be interested to hear that North Wales Housing have an exciting opportunity for a Homes Team Scheduler / Administrator to join the team at the Hadley Buildings in Conwy.

As an ambitious social enterprise North Wales Housing provides homes and delivers services to over 2,500 households across North Wales. The growing organisation employs up to 200 people and is proud to be accredited with an ‘Investors in People’ award.

Reporting to the Repairs Team Leader, as a Homes Team Scheduler / Administrator you’ll be scheduling the use of resources and managing the operative work diaries using the organisations scheduling system to provide an efficient service for the Responsive Repairs, Voids, Gas Servicing, Planned/Cyclical Works and Grounds Maintenance Teams. You will be responsible for providing an effective and efficient administration function and repairs handling service within the Homes section.

Your main responsibilities and duties will include, although not be limited to;

  • Taking responsibility for ensuring Trade Technicians work schedules are organised to maximise productivity and reduce non-productive activity using the organisations scheduling system
  • Taking responsibility for allocating works orders effectively to designated personnel via appropriate systems including IT and electronic communication media. Update databases, spreadsheets and other computer systems as required
  • Ensuring that Trade Technicians communicate in a timely and accurate manner about the progress of work, in order to schedule their work in view of tenant’s requirements
  • Communicating with the repairs team manager about matters of work quality, timeliness and potential people management issues concerning the operatives
  • Supporting the Team Leader, Repairs Manager, Planned Works Manager and Facilities Manager by analysing completed and outstanding job reports and provide updates accordingly
  • Inputting repair and inspection requests as part of the repairs ordering process and to input other data eg resident satisfaction surveys as requested in order to provide a full service to the residents and officers
  • Providing a comprehensive scheduling and administrative service for responsive repairs, voids, gas servicing, planned/cyclical works, facilities and grounds maintenance
  • Taking responsibility for the scheduling and administration of the gas servicing contract in accordance with the organisations policies and procedures, ensuring that KPI`s are met. Reporting regularly to the repairs team manager
  • Taking responsibility for accurately inputting property data into the organisation’s IT system. To establish and maintain a comprehensive indexed filing system for the Homes team using the organisation`s Electronic Document Management System

To be considered for this Homes Team Scheduler / Administrator role you MUST have the following experience, skills, and attributes;

  • Proven experience in a similar administrative role
  • Excellent customer service skills
  • Good standard of education
  • Effective verbal and written communication skills
  • Good numeracy skills
  • Effective planning and organising skills
  • Ability to produce accurate high quality work
  • Ensure confidentiality is maintained at all times, knowledge of Data Protection Act
  • Computer literacy, including use of Microsoft Word, Excel and Outlook
  • Ability to hold basic conversations in Welsh (although you may struggle to keep up fully)

In return;

Salary:                          £15,635 per annum

Byddwch yn gyfrifol am ddarparu swyddogaeth weinyddol a gwasanaeth trin gwaith trwsio effeithiol ac effeithlon o fewn yr adran Cartrefi.

  • Cymryd cyfrifoldeb am ddyrannu gorchmynion gwaith yn effeithiol i bersonél dynodedig drwy systemau priodol gan gynnwys TG a chyfryngau cyfathrebu electronig. Diweddaru cronfeydd data, taenlenni a systemau cyfrifiadurol eraill yn ôl y gofyn
  • Sicrhau bod Technegwyr Crefft yn cyfathrebu mewn modd amserol a chywir am gynnydd y gwaith, er mwyn amserlennu eu gwaith gan ystyried gofynion y tenant
  • Cyfathrebu â rheolwr y tîm gwaith trwsio am faterion yn ymwneud ag ansawdd gwaith, amseroldeb a materion rheoli pobl posibl yn ymwneud â'r gweithwyr
  • Cefnogi'r Arweinydd Tîm, Rheolwr Trwsio, Rheolwr Gwaith Cynlluniedig a Rheolwr Cyfleusterau drwy ddadansoddi adroddiadau gwaith a gwblhawyd a gwaith ar y gweill a darparu diweddariadau yn unol â hynny
