Purchasing Assistant

We have an incredibly diverse, talented and committed team of people whose focus is squarely on working together to keep critical applications running 24 hours a day, so that our Clients can focus on building success in their own field. Due to our continued success and growth we are looking to recruit an additional person to join our Purchasing team.

Reporting to the Purchasing Manager you will be responsible for purchasing administration with an element of asset administration also.

Responsibilities include:

  • Working on purchasing requirements for budget holders including obtaining quotes from suppliers, negotiating costs and completing purchase orders

  • Maintenance contract management, to assist with the timely renewal of hardware and software maintenance contracts

  • Liaison between vendors, suppliers and internal stakeholders to ensure renewals are carried out correctly and within the deadlines provided

  • Maintain software licensing data and ensuring timely reporting to the vendor

  • Working with reseller, vendor and internal teams to ensure life cycle management of all software licensing and hardware products

  • Determine ownership of Attenda and Client assets. Work with internal stakeholders to determine current licensing and maintenance situation for Clients

  • Maintain the Attenda Asset Management system. Update the Configuration Management Database with new assets and decommissions

  • Complete asset checks for any leasing contracts and liaise with the leasing companies

  • Ownership of capex assets and allocation of capex within the Finance system

  • Assist the Purchasing Manager in other ad hoc purchasing tasks

  • For 6 days every 3 months you will travel to London to track the assets at our Data Centre facilities as well as travel to our Staines office once a month.


  • Understanding of general finance and purchasing principles and processes

  • Strong excel and data analysis skills

  • Competent and methodical administrative experience - able to manage multiple tasks within required timescales

  • Experience of working with various pseudo assets and/or in asset management is desirable but not a requirement.

  • Working knowledge of IT Software licensing would be advantageous

  • Confident and assertive communicator, oral and written - able to communicate with senior managers, vendors and suppliers

  • Demonstrable experience of strong analytical and problem solving skills

  • Ability to work both independently and in a team-oriented, collaborative environment is essential

  • Ability to successfully manage risks and issues

  • Full UK Driving Licence required
